In modern campus housing operations, seamless key management is a vital part that cannot be ignored. However, managing physical key cards would be a quite troublesome matter as facilities expand gradually. Especially during the period when new students move in, manual searching method usually faces challenging to find out right keys when a large number of students flood in. There is where IoT-based BLE smart system comes in, helping quick location and minimizing manual errors.

In large-scale American universities, dormitory manager has struggled with one operational problem about managing thousands of room cards. One dormitory usually covers hundreds of rooms, and every room has one set of access cards. When dormitory facilities gradually expand, the number of cards increase linearly with the number of rooms. Typically, these visually identical cards are centrally stored in the manager room, serving hundreds of individual rooms across multiple dormitory buildings.
Traditionally, staff relied on manual classification based on building and room numbers. This method would be especially inefficient and error-prone during high-density move-in periods or urgent access requests. Staff members frequently spend large amount of time on searching keys through every corner, leading to increased risk of mistakenly placing problems and long waiting lines. The dormitory management department needs one smarter solution for key card management to improve the current situation.
Solution
To handle this challenge, one BLE-based smart management system has been adopted. The total solution consists of three basic parts, coin-sized BLE tags, a central database and mobile terminals with dedicated application. Every access card is equipped with a compact BLE tag. The unique tag ID is digitally bound to a specific room number (eg. Building A Room 301) in the software platform. When needing a specific room card, staff member simply needs to choose or input relevant room number on the mobile app, using either a smartphone or tablet. Then, the system could transmit a wireless BLE command to the targeted tag. After receiving the signal, the LED light of the corresponding tag starts to flash at once. Its high-brightness allows the manager to identify and locate the correct card within seconds.

In this solution, one significant advantage is that these tags use Bluetooth Low Energy technology. They keep in an ultra-low-power sleep state until being triggered by a search command, maintaining a multi-year battery lifespan. Another point is its built-in high-brightness LED light ensures clear visibility even in dark environments. This intelligent solution significantly reduces the retrieval time for each card, almost eliminating manual sorting errors and significantly improving searching efficiency. Furthermore, it helps to establish a scalable and highly reliable management infrastructure for university housing department.
