In daily hospital operations, knowing the exact location of critical healthcare equipment is essential, as it directly impacts the speed and quality of patient care. Medical devices such as infusion pumps, wheelchairs, ventilators, and portable diagnostic equipment are frequently moved between departments, making them difficult to locate when urgently needed. Under traditional management methods, devices with high-frequency mobility usually require a long searching time, leading to impaired healthcare outcomes. This would become a more serious problem in core departments like the Intensive Care Unit (ICU) and Operation Room (OR). In order to enhance overall care quality, a real-time location system is highly needed to quickly locate such essential equipment.
A hospital in Thailand has been struggling for years regarding the management of medical equipment in the ICU and emergency department. Within such crucial units, devices like medical ventilators and infusion pumps are common tools to assist doctors with treatments. Highly relevant to patients, ventilators are typically transferred along with patients, like taking examinations in other departments. More than this, infusion pumps, with a relatively compact size and large quantity, are more likely to be moved between different beds and departments.
Without an efficient management system, asset inventory staff often face significant operational challenges. They relied on traditionally handwritten logs to record the initial positions of every device and update manually after each movement. However, in fast-paced clinical settings, busy medical staff usually forgot to modify latest locations. When needing to locate specific equipment, staff usually found these records were not updated synchronously. Such scenario was not unusual throughout the entire hospital, greatly reducing operation efficiency and significantly introducing hidden risks like delayed patient care. There was an urgent calling for a more automatic and effective equipment management solution.
To better track these healthcare equipment, the hospital has adopted a BLE-based asset tracking solution. The overall logic is quite simple – firstly, every medical device will be equipped with a compact Bluetooth beacon, which uniquely binds to device information. Then, Bluetooth plug gateways are strategically deployed on each floor or at every department. These gateways scan Bluetooth signals sent from beacons in real-time, and connect to a cloud server via Wi-Fi. When a device is moved, the Bluetooth data package sent from the related beacon will be captured by nearby gateways. After uploading it to the server, its exact location will be displayed on the centralized platform. Therefore, managers could clearly get the real-time location of every piece of equipment with just a simple click.
One of the most standout advantages is that this total system does not require many modifications to the original hospital wiring architecture. Our plug-and-play gateways only need an extra power outlet to connect the whole tracking system. Currently, this solution has been put into operation successfully and has brought tangible impacts to hospital management. By replacing manual methods with automatic workflow, this hospital has sharply reduced searching time spent for locating medical equipment, and dramatically improved operational efficiency.
